Conferences and Event Services, in partnership with the Registrar’s Office and OIT, is excited to announce the rollout of a new room scheduling platform, College Net 25Live. The 25Live system will replace Ad Astra as the official scheduling software for all campus classrooms, meeting/event spaces, and outdoor locations. The new system will be phased in over the month of July and ready for campus-wide use by August 1, 2022.
A committee consisting of representatives from Conferences and Event Services, the Registrar’s Office, and the Office of Information Technology chose 25Live as the university’s next room scheduling platform. 25Live offers a powerful academic scheduling optimizer, robust event workflow and notification options, important integrations with other university systems, and provides end-users with more control over their own reservations. The implementation committee is currently in the process of reviewing the initial database build and will continue to work with the 25Live team to build out additional features within the system.
As a reminder, the scheduling system is required to be used by all campus areas, whether reserving a space that falls to your department or requesting another space outside of your unit. This system provides several different departments, such as UTPD, Facilities Services, the Office of the Chancellor, and Conferences and Event Services, with the ability to view all activities on campus. Schedulers should continue to use Ad Astra for all scheduling purposes until the official launch of 25Live. All existing meeting/event information in Ad Astra will be transferred into the new system when it goes live.
Virtual trainings and training documents for 25Live will be available on the Campus Event Services website starting in July. Campus space approvers will have the same roles in 25Live as they do in Ad Astra and will oversee approvals for the same spaces.
